Wild & Classic Safaris – Terms & Conditions

  1. Introduction

These Terms & Conditions govern all bookings made with Wild & Classic Safaris, a legally registered tourism company operating in East Africa. By booking a tour, safari, or related travel service with us, you (the “Client”) agree to be bound by the terms below. We encourage you to read them carefully.

  1. Bookings and Payments
  • A non-refundable deposit of 30% of the total tour cost is required to secure your booking.
  • The balance must be paid no later than 30 days prior to the start of the tour.
  • Bookings made within 30 days of the departure date must be paid in full at the time of confirmation.
  • All payments must be made via approved methods (bank transfer, mobile money, credit/debit card, etc.), and any bank or transaction charges are the responsibility of the client.
  1. Cancellations & Refund Policy
  • Cancellations must be received in writing and are subject to the following fees:
    • More than 60 days before departure: 15% of total cost
    • 30–59 days before departure: 30% of total cost
    • 15–29 days before departure: 50% of total cost
    • Less than 14 days before departure: 100% of total cost (no refund)
  • No refunds will be made for unutilized services (e.g., missed game drives or activities).
  • Gorilla and chimpanzee permits must be paid in full at the time of booking, non-refundable and non-transferable once secured.
  1. Amendments by the Client
  • Requests to amend a confirmed booking must be made in writing.
  • We will try our best to accommodate changes, but additional costs incurred due to modifications (e.g., rebooking fees, permit changes) shall be borne by the client.
  • Date changes are subject to availability and supplier terms.
  1. Changes or Cancellation by the Company
  • We reserve the right to make changes to the itinerary or cancel a trip due to unforeseen circumstances (natural disasters, political unrest, disease outbreaks, etc.).
  • In such cases, we will offer an alternative of equal value, postpone the trip, or issue a partial refund, excluding non-refundable expenses already incurred.
  1. Travel Insurance
  • All clients are required to obtain comprehensive travel insurance covering medical expenses, trip cancellations, lost luggage, and personal liability before travel.
  • Proof of insurance must be provided upon request.
  1. Health & Safety
  • Clients must inform us of any medical conditions or dietary restrictions in advance.
  • Wild & Classic Safaris is not responsible for any injuries, illness, or death during the trip unless caused by proven negligence.
  • Vaccinations and health requirements (e.g., Yellow Fever certificate) must be fulfilled according to East African travel laws.
  1. Passports & Visas
  • Clients are responsible for ensuring they possess valid passports, visas, and travel documents for entry into Uganda, Kenya, Rwanda, Tanzania, or any other destination covered in the itinerary.
  • The Company offers advisory support but bears no responsibility for denied entry or visa issues.
  1. Liability Disclaimer
  • While we strive for safety and quality, participation in any tour or activity is at the client’s own risk.
  • The Company shall not be held liable for any loss, damage, accident, delay, or irregularity arising from third-party services (e.g., airlines, hotels, transport providers).
  • Our liability for any claim is limited to the amount paid by the client to us for the specific service.
  1. Client Conduct
  • Clients are expected to behave respectfully toward guides, wildlife, local communities, and fellow travelers.
  • Disruptive behavior may result in immediate termination of the tour with no refund.
  • The Company reserves the right to refuse service to any individual who poses a threat to safety or violates ethical conduct.
  1. Force Majeure
  • The Company is not liable for failure to perform obligations due to events beyond our control including but not limited to war, strikes, civil unrest, pandemics, natural disasters, or government restrictions.
  1. Complaints
  • Complaints must be reported immediately to the guide or tour manager to allow for prompt resolution.
  • If unresolved, formal complaints should be submitted in writing within 14 days after the trip ends.
  1. Applicable Law
  • These Terms & Conditions are governed by the laws of the Republic of Uganda, though we operate regionally across East Africa.
  • Any disputes arising shall be settled in a competent court within Uganda, unless otherwise agreed.
  1. Privacy and Data Protection
  • Client information is used solely for booking and communication purposes and is kept confidential.
  • We will never share or sell client data to third parties without consent, unless required by law.
  1. Marketing Consent
  • With consent, we may use photos or videos taken during trips for marketing or promotional purposes.
  • Clients may opt out by notifying us in writing prior to or during the trip.
